Personal Data

How is information collected about you?
We collect information about you when you register for one of our events, subscribe to our communities, download a piece of content or an event brochure.  We also collect information when you voluntarily complete customer surveys or provide event feedback. Website usage information is collected using cookies.

Following initial interaction with you, we will only send you information that is relevant to you in accordance with your marketing preferences.

Sometimes we may receive contact information from others about individuals within a business who may have an interest in our products and services and make initial contact because of this. Please ensure that all personal information which you provide is accurately given to us as the information which is held is only as accurate as the information provided in the first place.

How will we use the information about you?
To fulfil our contractual obligations towards you:

We may from time to time provide personal information to those outside of TAC Insights Limited to assist us in providing products and services to you. For example, we may direct you to another service for credit card payments.

When you complete the register your interest form, we will consider this consent to contact you further when the event brochure is ready for release

When you consent
Following our initial interaction with you, we will only provide marketing information to you with your consent. In that case we will keep you informed of future events and content within your chosen fields of interest by email, post, or telephone. You can unsubscribe at any time by emailing us on data@tac-insights.com or by accessing your profile.

Interest Forms
When you complete our inhouse online enquiry form requesting a brochure you will be given the option to opt in to receive further information about relevant events in your field of interest. You will at this stage be added to our database for whichever topic is the relevant field. You can edit your interests at any time by emailing your request to data@tac-insights.com.

Third Party Data Transfer

We do not rent or sell our customer data. We may share your personal information with professional organisations (our event sponsors/exhibitors or SAP for example) to promote related products and services related to your area of interest. However, this information will only be shared if your explicit consent is given. If you wish to remove your consent at any time you can do so by emailing data@tac-insights.com

Other
We may also use personal information for management and statistical purposes to enable the efficient running of TAC Insights Ltd.

How long will TAC Insights Limited keep personal information for?
We will only retain personal information:

In relation to those with whom initial contact is made about our products or services or who we understand may have an interest in our services, but where in either case the individual does not go on to purchase them or consent to us remaining in contact with him or her, we would not normally keep personal information for longer than 6 months from the latter of the first receipt of the personal information or the last communication from you.

If we hold personal information about you in such circumstances and you request us to, we will delete it.

Whilst the business relationship with you continues and thereafter for 5 years. In some circumstances you have the right to request erasure of personal information held. This will be addressed under the heading “individual rights” below.

 

Use of the Website
In general, you can browse TAC Insights web pages anonymously. Unless you voluntarily provide us with such data, we do not collect or store personally identifiable information when you visit tacevents.com. Our log files are completely anonymous and are used for the sole purpose of diagnosing and resolving problems with the technical operation of tacevents.com and for statistical purposes to improve and optimise the content and design of tacinsights.com.

However, notwithstanding the foregoing, every web server automatically records each visit to a website. To maintain system security, when you visit our website, our host’s web server saves your IP address, the date of access, the URL of the page(s) visited, any content that is viewed and any other transactions. This information is collected anonymously and cannot be used by us to identify the user. Personally identifiable information is only collected when the visitor voluntarily submits such information, for example, to register with us or sign up for a conference (please see below). Any personal data you provide is used for the sole purpose of answering your questions, completing your orders or for technical administration.

Your rights in relation to the information held in relation to you
The right of access (Art 15, GDPR);
The right to make what is known as a Subject Access Request to obtain a copy of the personal information which we hold about you. If you make such a request we are required, in most circumstances, to provide a copy of the personal information without charge and within 30 days.  We will ask you for evidence of identity before sharing the information and if there is a delay on your part in providing it this may delay the provision of the information.
You may also seek confirmation of the nature of personal information which we hold about you without seeking a copy of the information itself. An access request can be made by emailing data@tac-insights.com.

The right to rectification (Art 16, GDPR);
If you believe we have made an error as to the personal data we hold about you, please speak to a member of our team using data@tac-insights.com. Alternatively, you can visit your profile data by following the instructions here.

The right to erasure (Art 17, GDPR);
You have the right to request your personal data to be permanently deleted from our records and systems to avoid any further communication with you.  Your request will always be considered in light of the legal bases that we hold, store, and process your personal data and the purpose that we collected your data. Where the legal bases permits, we will carry out your instruction without undue delay. Please note, however, that where we have a legal or contractual obligation to hold your personal data, we may not be able to carry out your request, but we will explain this fully to you.  Please address any request to delete your data to the Data Protection Contact


The right to restrict processing (Art 18, GDPR);

The right to object (Art 21, GDPR);
You have the right to object to certain types of processing of your personal data.  We will always make it clear at the outset of any new arrangement with you how we are going to process your personal data.  Should you wish to object to any processing on our part, please contact data@tacook.com.  We will seek to comply with your request, but you should be aware that there are some circumstances in which it will not be possible to comply, for example if it is necessary to process the information in connection with obligations which we have and which have been explained to you in this document.

Keeping personal information safe
We have put in place appropriate security measures to prevent the personal information provided from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. Access to personal information is limited to those employees and contractors who have a business need to know the personal information.  Personal information will only be processed upon instructions from us.  Procedures have been put in place to deal with any suspected breach of the requirements under the GDPRs.  You and/or the Regulator referred to above will be notified of any potentially significant breach.

Miscellaneous
We do not use automated decision-making that has a legal effect on you or affects you.  It is not anticipated that any personal information will be transferred outside of the European Union.  We will notify you if this position changes.  It is possible information may be accessed for legitimate purposes on a limited basis by our German subsidiary company, TAC Insights GmbH.

Terms & Conditions

If you are Attending an Event In-Person

Registration Cancellation and Substitutions
Cancellations must be made in writing at least two weeks before the beginning of the event. In this case we will charge a processing fee of £175.00, €200.00 or $250.00 dependent on the currency of the event that you have registered for. Cancellations received less than two weeks before the event will be liable for the full registration fee. This also applies to registrants who do not attend the event. If a no longer attend the event, it is possible to nominate a substitution. Substitutions must be received in writing, must be addressed to the registration office, and must include the names of both the original and the substitute registrants.

If you can no longer attend the event due to a positive Covid-19 test or a change in your local government policy due to Covid-19, you are able to transfer your registration to a substitute or use your registration as credit towards a future event with us. A cancellation processing fee will not be charged in this case, nor is there a pre-event time limit on when you need to inform us

We reserve the right to cancel your registration or refuse access to the event.

Payment

When registering for our events you have the option to select credit card payment or request an invoice. Payment must be received before the conference, or 30 days after the invoice has been issued, whichever is the sooner. All payments are to be made in the correct currency per the event. Please note that non-attendance for any reason is subject to the cancellation terms laid out immediately above.

Liability
You agree to indemnify and hold TAC Insights Ltd and its subsidiaries harmless against any and all loss, liability, damage, costs, expense, claims, proceedings, and actions arising out of any negligent act or omission of client or their representatives; including any breach of these terms and conditions.

You are responsible for arranging appropriate insurance cover in connection with your attendance at this event, including prevention, postponement, or abandonment. TAC Insights Ltd cannot be held liable for any loss, liability, or damage to personal property.

TAC Insights Ltd are not liable for damages due to technical malfunctions that may occur. We bear no responsibility if it is necessary to exchange, cancel, modify or postpone an event due to an unforeseen event or act of God, including, but not limited to, armed conflict, civil unrest, terrorist threats, natural disasters, severe weather, significant influence on transport.

Organisers’ Changes
We strive to deliver all our events as scheduled. However, in certain cases an event may need to be cancelled or rescheduled – for example, due to low delegate numbers, force majeure, pandemic, act of God, or when a situation arises which, according to TAC Insights, may pose a threat to our participants – when this occurs the following applies:

– If the event is cancelled without rescheduled dates, you can opt take part in a similar event organized by us within a period of 12 months. If you do not wish to switch your participation to another event, we will refund the conference participation fee in full.

– If the event is rescheduled, we will automatically assign your participation to the new event date. Cancellation of your participation because of the rescheduled dates will not be possible unless it is demonstrably unreasonable for you to make the rescheduled date. Under these circumstances, we offer to transfer your participation, and associated fee, to another conference within a period of 12 months. Should we be culpable for the reason to reschedule, your participant fee will be refunded in full.

In the event of a cancellation or rescheduling of an event, TAC Insights Ltd are not liable for any further costs incurred by our customers in connection with their attendance, for example for travel and accommodation costs.

Liability for damages is excluded unless TAC Insights Ltd is culpable for the reason the event was cancelled.

We do our best to ensure all presentations are available for electronic download, but in some cases, cannot guarantee that speakers will make their presentations available for sharing post-conference.

Data Policy
By registering for an event, you agree that TAC Insights Ltd will use your data to fulfil our contractual obligation towards you. This may include, in some cases, sharing your data with third parties for the specific reason of enabling delivery of our services to you. If this is the first time you are registering for an event with us, your details will be held on our internal database for this purpose only and will not be included in future marketing unless your consent is provided. If you have an existing relationship with us, you can access your profile information at any time via our website to update your marketing preferences or to unsubscribe or you can also email us at data@tac-insights.com. Non-identifiable registration data (your department, company name and country) will be shared pre- and post-event with SAP and event sponsors. If you object to this data sharing, please notify us by email data@tac-insights.com. We will also share your personal data (name and job title) and contact data (email address, postal address, and phone number) pre and post event with SAP and event sponsors, but only if your explicit consent is given when you register for the event. Governing Law/Place of Jurisdiction/Place of Performance
(1) The law of the Federal Republic of Germany is solely applicable. Application of the UN Convention on Contracts is expressly excluded.
(2) The place of jurisdiction is Berlin.
(3) The place of performance is Berlin, or in case of consulting projects the agreed location, and with regard to events the announced event location.

Photography and Videos
We plan to take photographs and video material at the event and reproduce them in educational, news or promotional material, whether in print, electronic or other media, including event websites. By participating in this event, you grant us the right to use the photographs and video footage for such purposes. All photos and videos become the property of TAC Insights Ltd. These may be displayed, distributed or used by TAC Insights Ltd for any purpose. Should you wish to opt-out of this, please contact us at info@tac-insights.com.

 

If you are Attending an Event Virtually

Recording and Broadcasting
Please note that all sessions on the agenda are recorded and later made available on-demand. By registering for this event, you acknowledge that these recordings may be used within the public domain in the future by TAC Insights Ltd and/or our event partners. Participants may not personally record or broadcast audio/video of sessions. Participants may not record any one‐on-one meetings, group discussions, virtual networking, or any other activity with other participants without prior written consent from all other participants in the conversation.

Access To and Use Of an Online Event Platform
You undertake to be responsible for any technical requirements needed to enable you to access the event website, app or other platform made available by TAC Insights Ltd to facilitate participation in the event (the “Event Platform”).

We do not guarantee that the Event Platform will operate continuously, securely or without errors or interruption, and we do not accept any liability for its temporary unavailability.

TAC Insights Ltd may issue you with a username and password. Usernames and passwords are confidential and remain the property of TAC Insights Ltd at all times and may not be sold, assigned or transferred to any third party without our permission. Your username and password are personal to you. You hereby agree that you will not permit others to use your username or password and you will be and remain liable for the acts of any person using your username and password.

Any posts, messages or other materials, information or data you supply or upload to the Event Platform (collectively, “Materials”) will be considered non-confidential and non-proprietary, and we have the right to use, copy, distribute and disclose to third parties any such Materials for any purpose. We reserve the right, at our sole discretion, to edit or remove postings to any message boards on the Event Platform and delete or use electronic methods to block or filter any Materials at our discretion, but we do not have any obligation to do so.

Code of Conduct
We are committed to providing a harassment-free online environment for all attendees. We reserve the right to remove any attendees from the platform who are engaged in offensive, threatening or inappropriate behaviour. If you believe you are experiencing unacceptable behaviour inside of the event platform, please email info@tac-insights.com.

III.     Purposes and legal basis of the processing
We use this data to carry out the application procedure. The legal basis for this can be found in Art. 88 Para. 1 GDPR in conjunction with Article 26, Section 1 Federal Data Protection Act (BDSG).

If your application is unsuccessful, we may contact you to ask your permission to include your details in our applicant database and consider them for future employment. In this case, we will ask you for separate consent. Your data will then also be used for future applications. The legal basis for this is Art. 6 para. 1 lit. a) GDPR.

    There are no transfers to a third country.
  2.     Duration of Storage
    Your data will be stored until the end of the application process. Deletion will then take place at the end of the sixth month after the end of the application procedure. In so far as you have given us your consent to also consider your data for later applications, we store your data until you withdraw your consent.

VII.    Rights concerned
The General Data Protection Regulation guarantees you certain rights, which you can assert against us – insofar as the legal requirements are met.

–    Art. 15 GDPR – Right of access by the data subject: You have the right to obtain from us confirmation if
personal data concerning you is being processed and, if so, what that data is and the detailed
circumstances of the data processing.

–    Art. 16 GDPR – Right to rectification: You have the right to obtain from us without undue delay the
rectification of inaccurate personal data concerning you. Taking into account the purposes of the
processing, you have the right to have incomplete personal data completed, including by means of
providing a supplementary statement.

–    Art. 17 GDPR – Right to Erasure: You have a right to obtain the erasure of personal data concerning you
without undue delay.

–    Art. 18 GDPR – Right to restriction of processing: You have the right to obtain the restriction of the data
processing.

–    Art. 20 GDPR – Right to data portability: In the case of processing due to the signing or fulfilment of a
contract, you have the right to receive the personal data concerning you, which you provided to us, in a
structured, commonly used and machine-readable format and have the right to transmit those data to
another controller without hindrance from us or to have the data directly transferred to another controller,
where technically feasible.

–    Art. 21 GDPR – Right to object: You have the right to object, on grounds relating to your particular
situation, at any time to the processing of personal data concerning you, when it is necessary on account
of a legitimate interest on our part or for a task carried out in the public interest, or is carried out in the
exercise of official authority.

If you object, we will no longer process your personal data, unless we can prove compelling legitimate grounds for the processing, which override your interests, rights and freedoms, or the processing serves to establish, exercise or defend legal claims.

If we process your personal data for direct marketing purposes, you have the right to object to the processing at any time. If you object to the processing for direct advertising purposes, we will no longer process your personal data for these purposes.

–    Art. 77 GDPR in conjunction with Section 19 of the German Federal Data Protection Act – Right to lodge a
complaint with a supervisory authority: You have the right to lodge a complaint at any time with
supervisory authority, in particular in the Member State where you are residing, working or where the
infringement is suspected to have occurred, if you consider that the processing of personal data
concerning you is contrary to the law.

If you have given us your consent, you have the right to revoke your consent at any time. All data processing that we have carried out up to your revocation remains legal in this case. For this purpose you can send us a message to one of the addresses mentioned above.

VIII.    Legal and contractual obligation to provide the data
You are not obliged by law or contract to provide us with data. However, if you do not do so, we may not be able to conclude the employment contract with you.
